Executive Assistant

We have a unique opportunity for an Executive Assistant to provide vital and robust support for Principal(s) (and occasionally other members of the leadership team). This pivotal position requires an energetic, intuitive, and savvy individual with a passion for clear communication and organization. The Executive Assistant will represent the studio and its partners in a professional, positive, and thoughtful way. An ideal candidate will have proven themselves able to thrive in a fast-paced environment through their organizational skills and ability to work within a rapidly changing environment. They will be comfortable working independently and be able to proactively manage an evolving workplace by prioritizing multiple projects, concepts, and ideas and capable of getting the ball rolling quickly when a new idea strikes.

Major Responsibilities Include:

▸High-level administrative support for the Principal Architect.

Scheduling complex calendars.

▸Liaises with other business operations staff (controller, marketing director, etc.) and the design team (architects, interior designers, etc.) to support staff needs.

▸Assist with incoming and outgoing communications, using professional judgment and discretion to take action on items that require follow-up.

▸Screens incoming calls to the studio and handles them accordingly.

▸Manage simple budgets and expense reporting.

▸Manage complex travel logistics.

▸Document key discussions and actions.

▸Develop organizational graphics and visuals.

▸Act as studio + shop ambassador when hosting clients, consultants, and other visitors.

▸Ensure technology, supplies, and all needed support systems are organized and ready at all times.

▸Organize hospitality efforts both inside and outside of the studio.

▸Manages professional memberships, community, and civic engagement, as well as social/personal commitments.

▸Update and maintain databases and digital tools.

▸Create and collect content for marketing and communications purposes, such as photos, videos, and written material as needed.

▸Provide event planning assistance for the firm as needed.

▸Write, edit, and proofread correspondence including reports, emails, and spreadsheets on behalf of the Principal.

▸Assist with special projects and perform other duties as assigned, which may include physical tasks such as relocating furniture, couriering packages, etc.

▸Assist with property management tasks such as dealing with subcontractors, maintenance personnel, and arranging appointments for real estate needs.

▸Ability to ask the right questions and seek complete answers.

Minimum Qualifications:

▸Post-secondary education in a relevant field and a minimum of three (3) years of applicable work experience. Direct experience in the AEC industry is a plus.

▸Excellent computer skills, preferably in Google Business Suite, Adobe Creative Suite, or similar programs, and general data entry/management tools.

▸Strong written and verbal communication skills.

▸Strong problem solving, prioritizing, organizational, and time management skills.

▸Strong interpersonal skills are needed to facilitate positive and professional interaction with all clients, contractors, and designers.

▸Professional and calm demeanor; capable of consistently maintaining a high level of composure, confidentiality, and focus.

▸Ability to work independently with minimal guidance.

▸Must enjoy working in a collaborative, inclusive, and design-focused environment.

▸Willing to run various errands via walking and automobile.
